Our Volunteers are the LIFE BLOOD of DEERTREES!
Volunteers carry out any number of tasks and activities and have a great time before, after, and during performances. Volunteers work as ushers, ticket sellers, car parkers, greeters, cafe workers, fire watch, rack card ambassadors and so much more! In the off-season, we need help with mailings, events, and preparations for opening the theatre. Volunteer Job Descriptions

Parking Attendant

Parking attendant arrives one hour before show time to sign in, put on a volunteer lanyard and safety vest.  Volunteer is stationed at the entrance of the main parking area and after greeting patrons directs them to park in a convenient pattern (this may include directing them to back into parking spots for easier exit).  Handicapped parking for those with government issued handicapped license plates and placards is available adjacent to the main parking area. On busy evenings parking attendants are stationed at another lot on the left-hand side of the road diagonally across from the main parking area, where patrons can park once the main lot is full.  A third lot for overflow parking is located off Old Whitney Road just below the theater.

Stay on duty for 10 – 15 minutes after the performance begins to help any latecomers.  You may return your safety vest to the closet and clock out, or you may stay for the performance.  Please continue to wear your volunteer lanyard.  You are still considered to be on “duty” and may be asked to assist with other tasks, answer patron questions, etc.  Your lanyard makes you easily identifiable as someone who can help.

On nights of high ticket sales you will be asked to arrive earlier than the times indicated above.

Salt Lick Cafe/Usher

This volunteer position combines two jobs – ushers who also work in the Salt Lick Café before the show and during intermission.  Upon arrival at the theater please sign-in, put on a volunteer lanyard and an apron.  Make sure your lanyard hangs over the apron.

The Team Captain (someone who has prior Salt Lick Café experience) is assigned for each show and arrives 1 hour and 15 minutes before show time to turn on the coffee urn and brew the first pot of coffee.  This person directs the other volunteers (who arrive one hour before show time) to set out and sell refreshments to patrons before the show.  When the doors to the theater are opened (approximately 30 minutes prior to show time) the Team Captain will direct one or two volunteers to work at the entrance of the theater collecting tickets and distributing programs. 

The Team Captain will remain at the Salt Lick Café with the other volunteer and continue to sell refreshments up until the bell is rung to indicate the show is about to start.  Put any items that need to remain cold into the refrigerator.  At this time volunteers may sit at the back of the theater or outside on the porch (if the performance is sold out) to enjoy the show.  The Team Captain will check with theater staff to find out approximate time of intermission.  The Team Captain and volunteers will quietly leave the theater approximately 10 minutes prior to intermission and return to Salt Lick Café and set up refreshments to sell during intermission.  When the bell is rung to indicate Intermission has ended, volunteers will put away all food, beverages and paper goods, turn off coffee urn, empty coffee service containers and wash them out.  Wipe down counters. 

At this time volunteers may clock out to go home (return your apron and volunteer lanyard to the appropriate hooks and sign-out).  Anyone who wishes to see the remainder of the show may quietly return to the theater.  Please continue to wear your lanyard as you are still “on duty”.  Once the show is over return your apron and lanyard to the hook and sign-out.

Fire Watch

This volunteer position ensures the safety of Deertrees Theatre staff, volunteers and patrons. 
Volunteer arrives one hour before show time to sign-in, put on a volunteer lanyard and attach a new Fire Watch form to the clipboard hanging on the wall.  Volunteer will take a flashlight and conduct a Pre-Show inspection of emergency doors, emergency lights, fire extinguishers and wires in the light room – checking off these things on the list as you go.   Walk around the outside of the building to make sure fire lanes are open and ask anyone seen smoking to extinguish their smoking materials.  Smoking is strictly prohibited in the Deertrees Theatre and anywhere on the grounds. 

Volunteer must stay to the end of the show and carry a cell phone.  As Fire Watch you are the theater’s alarm system and as such it is your responsibility to be on alert.  If you see or smell anything suspicious contact the House Manager.  Instructions on what to do in an emergency are listed at the bottom of the Fire Watch form.  Sign and date the form and indicate the show for which you are the Fire Watch.  Put the form in the envelope attached to the wall at the end of the show when you sign-out.  Be sure to return your flashlight and lanyard before leaving.

Closer

This volunteer shuts down the theater after the show ends while the staff strike the set and prepare for the next show.  This is a job for someone who is able to close heavy shutters, move full trash and recycling bags and doesn’t mind working late hours.  Volunteer is welcome to attend the show (be sure to sign-in and wear a Volunteer lanyard) prior to attending the show.  At the conclusion of the performance:

  • Pick up discarded programs, coffee cups, water bottles and other trash in the theater and on the theater grounds. 
  • Fold up theater seats
  • Close shutters
  • Empty recycling and trash cans (outside theater, inside Salt Lick Café and restrooms) and put fresh trash bags in trash receptacles.  Place bags in designated location for trash and recycling pickup.
  • Other duties as requested by staff.

Poster and Rack Card Ambassadors

For each show we will have a different volunteer ambassador post show flyers and renew rack cards at designated businesses and community locations.  We will supply the materials, and our volunteers will help distribute for shows and connect with our sponsors to say thank you in person.

On Call Volunteers

These volunteers are willing to be contacted to substitute for any of the above jobs, distribute brochures or posters, sit at the Deertrees Theatre Booth at area Art Shows, assist with the Lobster Roll Sale or help with painting, cleaning or gardening.  If you have a special talent, please let us know what it is.  We might be able to use it!
